Volunteer Descriptions
ONE CREDIT PER FAMILY PER MEET is the guidance to ensure ALL families have an equal opportunity to receive credit
All volunteer positions are 1 SHIFT ONLY (1st Shift Events 1 - 40 and 2nd shift Events 41-80)..... with the exception of WATER RUNNER. Water runner distributes cold water to volunteers throughout the whole meet, and ensures the ice chest is stock water bottles and ice.
Home Meet Set Up - NO SET UP FOR PUBLIC WITHIN THE FENCE. Set up crew has one shift. You will come the Friday night before the home meet, usually around 6:30 PM. The pool (once it's open to the public) doesn't close until 8:00 pm, so we can't do full set up until swimmers and life guards are gone. Canopies are set up, deck seating has to be stacked and moved to the edges of the fence, barriers for other pools have to be set out, sound system has to be set up, ready benches and chairs have to set out, blocks have to be installed, etc. Set up is credited as one shift worked during the meet.
Home Meet Tear Down - Tear Down crew has one shift. Stay until the end of meet, usually beginning anytime from 12:30 PM -2:00 PM until tear down is complete. All equipment will be put back in the storage room and/or kitchen.
Announcer - Use the PA system to play family friendly music and announce events/information.
Ready Bench TWO SHIFTS - Arrive early to the ensure you have the proper event sheets and clear understanding of the role. You will be given heat sheets, from which you will arrange swimmers on benches to get them ready for the upcoming events. This is an IMPORTANT position to ensure the meet runs smoothly.
Computer Room Assistance TWO SHIFTS - 1st Shift Arrive in the computer trailer 30 mins prior to the start of the meet. 2nd Shift plan to stay after until all information is entered and cleaned up.
Details: Confirm the times entered in the computer match the scribed times, mark discrepancies, then staple scribe sheets to event sheet printout. You will also help with putting labels on ribbons, and posting results pages on the results board.
CARD RUNNER: TWO SHIFTS - You will go back and forth between the computer room and the scribes, ready bench, announcer and the officials. The computer room generates all the sheets that those people need. If you are new, you will be shown who to give the sheets to. You will also pick up event sheets from the scribes after each event and take them back to the computer official for entry throughout the meet every 3 events.
Concession Workers: TWO SHIFTS - First shift concession helpers need to arrive about 15 minutes before swimmer sign in, because as soon as parents and kids start showing up, they want coffee, juice and breakfast so we have to be prepared. You will help set out food, make coffee, ice drinks if they aren’t already, sell items, and help prepare for lunch. Second shift, you will sell, help grill crew wrap lunch items in foil, help with replenishing items from kitchen. Towards the end of the meet, you can begin to close it down, and will need to help to clean utensils, put things away and break down tables.
Timer/Scribe: TWO SHIFTS - You will need to go the timers and scribes meeting, to be instructed on timer use, which is held by the head timer. You will be one of 3 timers assigned to a lane, and you will use a stopwatch and clicker, or scribe and use clicker to time the swimmer in your lane. Times are recorded by scribe in the same order each time. Upon arriving you will get an assigned lane number from the volunteer coordinator.
